Job Title: Accounting Clerk
Location: Onsite, 5 days per week – Suncity, FL
Job-Type: Contract
Employment Eligibility: Gravity cannot transfer nor sponsor a work visa for this position. Applicants must be eligible to work in the U.S. for any employer directly.
Overview:
The Accounting Clerk will play a critical role in supporting payroll, accounts payable, accounts receivable, and bank reconciliations, as well as various HR-related administrative tasks. This is a full-time onsite role with the potential to convert to a permanent position.
Key Responsibilities:
Payroll (30%)
- Maintain both electronic and manual employee records
- Process weekly payroll, with Monday and Tuesday focused on preparation (75% of time)
- Print and distribute physical checks every Wednesday
- Enter payroll data, perform job costing, journal entries, and maintain payroll books
- Ensure confidentiality of all sensitive employee and payroll information
Bank Reconciliation (10%)
- Handle detailed and high-volume bank reconciliations
- Manage small PayPal and credit card transactions, transferring lump sums to the bank
- Print and reconcile PayPal summaries to clear accounts receivable
Accounts Payable (50%)
- Print and distribute invoices received via email daily
- Distribute invoices to appropriate departments for coding
- Enter and process payments once invoices are approved
- Apply, file, and maintain AP documentation (requires lifting, stretching, standing)
Accounts Receivable (10%)
- Match checks to invoices and apply payments
- Maintain organized files for reconciliation and audit purposes (requires lifting 8–10 lbs)
General Ledger & Job Costing
- Opportunity to learn general ledger entries and “door sheets” for construction site materials
- Assist with job costing tasks (construction accounting – training provided)
HR & Admin Support
- Assist with employment applications and field worker onboarding paperwork
- Support benefit coordination and ensure accuracy of application documentation
- Perform general office duties: filing, standing, lifting, copying
Required Qualifications:
- 5–8 years of experience in an Accounting Clerk or Junior Accountant role
- Proficient in Excel (spreadsheets, pivot tables, VLOOKUPs)
- Experience with Sage and/or NetSuite is a strong plus
- Experience with PayChecks or similar payroll software
- Comfortable lifting 8–10 lbs of files and documents
- High attention to detail and accuracy
- Excellent organizational and communication skills
- Willingness to work in a rural office environment (nearest food ~5 miles away)
